Communication Options

There are a number of ways to promote your events/activities and otherwise communicate with the Hubbard Woods School community.

The Item

The Item is sent out every two weeks as an e-Newsletter to all HW families and faculty. The parent e-mail address listed on your child’s initial school registration is the e-mail that will receive The Item — unless you request an additional e-mail address be added to our list. Parents should check their SPAM folders to make sure The Item is making it to their inbox. Content requests/submissions should be sent via email to hwitemeditor@gmail.com. (Please note: The PTO only promotes events that are directly related to the PTO, District 36 or the District's Partners.) Please see The Item schedule for due dates and publish dates. Any questions should be directed to the PTO president or vice president.

HW PTO Website

The Hubbard Woods School PTO Website serves as the main source of information regarding all things related to the PTO. This resource is intended to give parents an easy-to-navigate reference point for key dates, important school information, etc. The website will also provide more in-depth information about the PTO and its committees, events and activities.

Flyers in Backpacks

In an effort to be green we try to limit the amount of paper that is sent home but sometimes it really is the best way to get your information out. Anything going home in backpacks needs to be approved by the PTO president and/or school principal. Flyers should be given to the front desk/office for distribution. When thinking about the timing of your flyers, please keep in mind that most teachers send home papers in either a Friday or Monday folder.

Paperless Post/Evite/SignUp Genius

The PTO has created multiple options to use to create electronic invitations and track attendance for school events. The communications team ensures the current parent e-mail list is uploaded to both accounts, making it easy to send out an evite to the parent population. Please note: these accounts are to be used for all-school events only, such as Fall Luncheon, Parent Party or Bingo Social. The vice president of communications can give you the login info.

Materials & Supplies

Before purchasing supplies for your committee please check the following locations as we may already have what you need!  Also, in keeping with the school’s Green Initiatives, please try to use recyclable and reusable products when possible. The green team committee chair is a wonderful resource for ideas (and help!) in this area.  For instance, in past years this person has worked closely with the Mayfest team to implement a number of sustainability initiatives.

PTO Closet

The PTO closet is located in the auditorium’s northeast set of closets.  Here you will find paper goods and plastic ware: napkins, plates, cups, utensils, bottled water, etc.  If you use the PTO closet, please help us keep it organized and try to label things for future use.  We happily accept donations from parents.

Basement

Accessed by the stairs in the west wing near the Kindergarten rooms.  Please consult with the custodial staff before accessing this area, as things do move over time.  Here you should find:

  • Mayfest games and supplies

  • Hubbard Woods back-to-school yard signs

  • Leftover decorations from parent parties

Banners 

The custodian will retrieve and hang various committee banners including World Travelers, Teacher Appreciation, Bookfair and Mayfest.  Please be sure to give enough advance notice to the custodial staff, whom you will find to be exceedingly helpful.
